Do I Really Need A Party Planner ?

This has been one of the busiest years I’ve had in a very long time. Juggling a career, motherhood and multiple businesses is not always easy. One of the things I am working on is asking for help and not trying to do everything myself. I am slowly but surely starting to realise that I don’t have to be Super Woman! I know what I am good at, what I have time for and when its time to weigh up the pro’s and cons of hiring a professional to get things done.

Planning a party or an event yourself, requires a lot of time and can be very stressful. Hiring the services of a Party Planner could be your answer to a smooth running event but is that the solution for you?

According to Busisiwe Ntanga, owner of Crazy Parties and a Friend of Moments by DJ Zinhle, there are a few things to consider when deciding whether to hire a Party Planner vs. planning a party or event yourself. Busi will be contributing articles on on a regular basis.

While it may seem that planning a party or an event is a manageable task, many people find themselves completely overwhelmed when the to-do list seems to be growing rather than getting smaller. There are a few things to consider before you decide whether or not you really want to do it all on your own.

The first question you should ask yourself … Do I have the time and energy required to seamlessly pull off this party/event?

There are so many details to consider when planning a party or event. You have to think about invitations, décor, food and music, birthday candles, pictures and cleaning up, just to name a few!! The complaint I get the most from people who have decided to plan their own party, is that they were stressed and weren’t able to enjoy the party. Out of all the factors in the Party Planner VS DIY events debate, I’d say that this is the most crucial. A professional event planner will take away all of the headaches that come with organising an event, big or small, leaving their client and guests to enjoy themselves.

Knowledge & Experience

Not only does a professional event planner understand the logistics of planning an event, they also have a network of contacts that they work with in the industry. Event planners have already secured relationships with décor, food, and entertainment suppliers and from experience they know who the most reliable suppliers are, who to call for last minute requests and from where to source all the exact items you need for your party or event. A party planner can also spot problems before they occur and put the right measures in place to prevent issues from arising during your event.

Extra Help & resources

Handling all the necessary planning by yourself, in order to make an event a success, can be very demanding. If you are going to ask your friends for help, make sure you don’t make them feel pressured to participate, don’t micromanage and also acknowledge they’re doing you a favour. Event planners on the other hand, have staff and resources at their disposal, so a full team can tackle the many aspects of an event or party instead of one person. If something goes wrong prior to or during the event — and something always does — you don’t have to take care of it. They’ll ensure that your event continues to runs smoothly. When you consider the additional manpower, skills, connections, and expertise the professionals offer, the return on investment for hiring an event planner can make the choice well worth it. There are many factors that go into creating a successful event, and it’s difficult to master all of them on your own.

You may think you don’t have the budget to hire an event planner but the costs of doing it yourself can quickly add up. By the time you’ve hired the DJ, equipment & décor items, paid for the cake & caterer and other necessary items, you may find that you have spent more than it would have cost to hire a professional planner. A seasoned event planner will have good working relationships with venues and suppliers and can get discounts and special pricing that just aren’t available to the general public. A professional event planner also has the experience of knowing when and where cutting costs is appropriate, saving their clients unnecessary expense.

We all know how much work and effort goes into organising a fabulous event but in the end, it’s the basics that matter most. In my opinion, the key elements are great food, outstanding entertainment and a creative venue. Those are the things people remember!! I love it when people remember details of their party or a party they attended, it makes me feel wonderful that I took part in creating this wonderful memory.

Every moment in life is filled with happiness, disappointments, laughter, sorrow, little miracles and so much more! Surviving it, thriving in it, dancing in it and crying in it, are all pretty good reasons to gather up all the people you love to celebrate a birthday, the arrival of a bundle of joy or the union of two people.

Hiring a party planner is no longer considered an unnecessary expense when hosting an event and whatever your reason, life is always worth celebrating!!

You are right– there are so many party details you need to pay attention to. If you don’t, the stress can really build up over a short amount of time. I recommend hiring a planner if you are unsure of how to choose the best materials and just want a stress free experience.
